What are university space condition cleanliness and general standards? What cleaning is covered within FOD’s contract? How do you have issues addressed?
All buildings occupied by EHE personnel on Ohio State’s main campus are maintained by Facilities Operations and Development (FOD). FOD personnel are responsible for general maintenance of building infrastructure, which includes each building’s general architecture, HVAC, plumbing, and electrical elements. How is the college providing oversight of the space policy? Will on-campus presence will be tracked?
EHE Facilities uses information provided by departments and units to update assignments and personnel locations within university space databases. At this time, there is no formal process at any level to track employee on-campus presence, and everyone should utilize best estimates to determine on-campus space requirements.
What is the process to address space assignment related questions?
Employees should first consult with their unit leader. Unit leaders and department chairs should contact EHE Facilities Manager Sara McMaken at: mcmaken.10@osu.edu to seek additional assistance for the following situations: requests for additional space outside of your unit’s assigned footprint, requests to give up space within your unit’s assigned footprint, and fulfilling space requirements for specialty circumstances.
Will there be temporary office space available to me if I do not have an assigned office on central campus? How do I reserve these types of spaces?
Plans are being developed to keep a handful of private offices and workspaces in Arps, PAES, and Campbell for reserved use by EHE faculty and staff. Priority booking will be given to personnel who do not have an assigned office elsewhere on central campus. EHE will be implementing a self-booking software-based solution for these spaces as part of the Campbell Hall reopening process in summer of 2026.
What type of space and technology should be available and used by personnel working on research projects?
Department leaders should utilize the research space specific and general space responsibility and use guidelines for spaces being used to fulfill research projects. Researchers should consult with their department leaders prior to submitting grant applications that propose to use space or technology not currently allocated to the researcher within EHE’s footprint. Department leaders should consult with EHE Facilities when these requests arise.
Research, as with other university work, should be conducted using university-managed computers and data storage devices. If currently assigned university equipment is not sufficient for research projects, grant funds or separately approved departmental funds need to be allocated to cover the initial purchase and ongoing maintenance (hardware and software) of these devices. General college and departmental funds are not budgeted to support specialty/research equipment for equipment refreshes required after 4-5 years or software purchases and renewals.
